QUBIQLE, INC.
Website Privacy Policy
For ottimate.com
Last updated November 4th, 2026
1. About this policy
Qubiqle, Inc. (“Ottimate,” “we,” “us,” or “our”) operates the website at ottimate.com. This policy explains what personal information we collect when you visit or interact with that website, why we collect it, who we share it with, and the choices you have.
What this policy does not cover. It does not cover information handled inside the Ottimate platform — invoices, purchase orders, vendor records, payment details, or information about our customers’ employees. That information belongs to our customers, who decide why and how it is used, and we handle it under their instructions and agreement with us. It is not used for advertising, not sold, and not shared with advertising partners. If you are an employee, approver, or vendor of a company that uses Ottimate and you want to access, correct, or delete your information, contact that company directly.
It also does not cover other websites you reach from ours. Those have their own policies.
2. What we collect
Information you give us
When you request a demo, download a guide, register for a webinar or event, subscribe to our content, contact us, or apply for a job, we ask for some combination of your name, business email address, telephone number, job title, company name, company size, and what you are interested in. Some fields are required and some are optional; the form tells you which.
Information we collect automatically
When you visit the site, we and our partners collect your IP address, browser type and version, operating system, device identifiers, language and time zone, the page you came from and the page you go to next, the pages you view, and the dates and times of your visits. We collect this using cookies, pixels, tags and similar technologies, described in Section 4.
Information we get from other companies
Business data providers. ZoomInfo, Vector, Bombora, Common Room and G2 supply business contact details, company information, and signals about what their users are researching. Some of them also help us work out which organization — and in some cases which individual — is visiting our site, by matching your IP address or browser against records they maintain.
Advertising platforms. Google, Meta, LinkedIn, Reddit, Outbrain, LiveIntent and OpenAI return campaign and conversion information so we can measure how our advertising performed.
Partners and referrals. Accounting firms, resellers and technology partners may pass on your contact details when they refer you to us.
Information collected automatically starts out anonymous and does not always stay that way. When you fill in a form, our marketing system can connect your earlier browsing on this site to you by name. Our visitor-identification partners work the same way in reverse — they exist to turn an anonymous visit into an identifiable one. Section 6 explains how to switch that off.
3. How we use it
Responding to you — answering demo requests, inquiries and support questions, and sending you the content you asked for.
Marketing — sending you email you can unsubscribe from, running advertising campaigns, measuring whether they worked, and reaching people likely to be interested in accounts payable automation.
Understanding the site — analyzing which pages get read, where visitors come from, and where people get stuck, so we can improve it.
Identifying visiting businesses — working out which organizations are looking at us so our sales team can prioritize, and so we can tailor what we show you.
Security — detecting and preventing fraud, abuse and automated traffic.
Recruiting — assessing applications submitted through our careers pages.
Legal obligations — responding to lawful requests and keeping records we are required to keep.
4. Cookies and tracking
We and our partners use cookies, pixels, tags and similar technologies on ottimate.com. A cookie is a small text file a website stores in your browser so it can recognize your browser later. We group them into seven categories.
| CATEGORY | WHAT IT DOES | PARTNERS INCLUDE |
|---|---|---|
| Necessary | Required for the site to work — page delivery, security, bot protection, and remembering the privacy choices you make. Cannot be switched off. | CookieYes, Cloudflare, WordPress |
| Functional | Remembers preferences so the site behaves the way you left it, including consent state on embedded media. | YouTube |
| Analytics | Helps us understand how the site is used and where visitors come from. | Google Analytics, Vimeo |
| Performance | Measures how the site and embedded media perform. | YouTube |
| Advertisement | Measures our advertising and shows you relevant ads on other platforms. | Google, Meta, LinkedIn, Reddit, Outbrain, LiveIntent, G2, OpenAI |
| Visitor identification | Works out which businesses — and in some cases which individuals — are visiting, and adds to what we hold about them. | ZoomInfo, Vector, Bombora, Common Room, Marketo, Adobe |
| Other | Anything not yet classified. We aim to keep this empty. | — |
A complete, current list of every cookie — the name, who sets it, what it does and how long it lasts — is published in our Cookie Policy at ottimate.com/cookie-policy.
Do Not Track. We do not respond to browser “Do Not Track” signals, because no common standard for them has been adopted. We do honor Global Privacy Control — see Section 6.
5. How we share it
Service providers
Hosting, security, email delivery, CRM and marketing automation, analytics, webinar and event platforms, and professional advisers. They get only what they need, are bound by contract to use it only on our instructions, and may not sell it or use it for their own purposes.
Advertising and marketing partners
We do not sell your personal information for money. We do share it. When you visit this website, we disclose online identifiers, device information, your IP address, and your browsing activity to the advertising and business-data partners named in Section 4, so that we can measure our advertising, show you ads on other platforms, and identify the organizations visiting us.
Under the California Consumer Privacy Act and similar laws in Colorado, Connecticut, Texas, Virginia and other states, this activity meets the definition of a “sale” or “sharing” of personal information, or of processing for targeted advertising. We treat it that way, we disclose it here, and you can opt out. Section 6 explains how.
We have not sold or shared the personal information of anyone we know to be under 16.
Legal and corporate
We may disclose personal information where we believe in good faith that the law or legal process requires it, to cooperate with law enforcement, to investigate suspected fraud or a breach of our terms, to protect the rights, property or safety of Ottimate or others, or in connection with a merger, acquisition, financing or sale of assets — in which case the recipient is bound to honor this policy for what it receives.
6. Your privacy choices
Depending on where you live, you may have some or all of the rights below. We will not treat you differently for using them — same content, same service, same response times either way.
| RIGHT | WHAT IT MEANS |
|---|---|
| Know and access | Ask what personal information we hold about you, where we got it, why we have it, and who we have disclosed it to. |
| Portability | Get a copy of what you gave us, in a portable, machine-readable format. |
| Correct | Ask us to fix information that is wrong. |
| Delete | Ask us to delete what we hold about you, subject to the exceptions the law allows. |
| Opt out of targeted advertising, sale and sharing | Tell us to stop disclosing your information to advertising and business-data partners. |
| Appeal | If we turn down a request, ask us to reconsider. |
Opting out of advertising and visitor identification
The “Do Not Sell or Share My Personal Information” link. It appears in the notice on your first visit and in the footer of every page. It is a single choice covering everything except the Necessary category — not a set of per-category switches. It applies to the browser and device you are using, so you will need to repeat it if you clear your cookies or switch browsers.
Global Privacy Control. If your browser or an extension sends a GPC signal, we treat it as a valid opt-out of the sale and sharing of your personal information and of targeted advertising, and apply it to that browser automatically. You do not need to do anything else.
Your browser settings. Every major browser lets you block or delete cookies, individually or all at once. If you want finer control than our opt-out gives you, this is where to get it. Blocking everything will break parts of the site.
Marketing email
Every marketing email carries an unsubscribe link. You can also email privacy@ottimate.com and ask us to stop.
Making a request
Email privacy@ottimate.com. Tell us what you want us to do and give us enough information to find your records.
Verification. Before acting on a request about specific information, we will confirm who you are — usually by asking you to reply from the email address we hold, or to confirm details we already have. We will not use anything you give us for verification for anything else.
Authorized agents. You can appoint someone to make a request for you. We may ask for written proof and may ask you to confirm it directly.
Timing. We will acknowledge within 10 business days and respond within 45 days. If we need longer, we will tell you why, and may extend once by a further 45 days.
Appeals. If we deny a request, our response explains why and how to appeal. Reply to it, or email privacy@ottimate.com with “Appeal” in the subject line. We will respond within 45 days, and if we deny the appeal, we will give you your state attorney general’s contact details.
Cost. Requests are free. If one is manifestly unfounded or excessive, or you make repeated requests, we may charge a reasonable fee or decline — and we will tell you why.
State-specific notes
California. You may also ask once a year what personal information we disclosed to third parties for their own direct marketing in the prior year. Email privacy@ottimate.com with “Shine the Light” in the subject line.
Nevada. You may submit a verified request that we not sell certain personal information. Email privacy@ottimate.com with “Nevada opt-out” in the subject line.
Everywhere else. We apply the same process to everyone, whether or not your state has a law requiring it.
7. How long we keep it
| INFORMATION | KEPT FOR | WHY |
|---|---|---|
| Marketing contacts and inquiries | 3 years after your last interaction | So we stop contacting people who have lost interest |
| Analytics and advertising identifiers | Up to 26 months | Long enough for year-over-year comparison |
| Privacy choice records | 5 years | To show what you were told and what you chose |
| Privacy request records | 24 months | Required by California law |
| Job applications | 2 years after the decision | So we can consider you for future roles |
| Security and server logs | Up to 2 years | Investigating fraud and abuse |
We may keep information longer where the law requires it, or where it is needed to establish, exercise or defend a legal claim.
8. Security
We maintain administrative, technical, and physical safeguards designed to protect the information collected through this website against loss, misuse, and unauthorized access — encryption in transit, access controls, logging and monitoring, staff training, vendor review, and an incident response process.
No system is completely secure, and we cannot guarantee any transmission over the internet. While we work to protect your information, we cannot promise that it is invulnerable.
9. Sensitive information and children
Sensitive personal information. We do not collect sensitive personal information through this website, and we do not use or disclose any information we collect here to infer characteristics about you.
Children. This website is for business audiences and is not directed to children. You must be at least 18 to use our services. We do not knowingly collect personal information from anyone under 16, and we do not knowingly sell or share it. If you believe a child has given us information, email privacy@ottimate.com and we will delete it.
10. Other websites and embedded content
Our site links to services we do not control — review platforms, social networks, accounting systems, and our customer login. Those have their own privacy policies and their own practices, and we are not responsible for them.
Embedded content. Some pages embed video from YouTube and Vimeo and interactive demos from Consensus. When that content loads, those companies receive your IP address and device information directly, whether or not you press play.
Public areas. Anything you post in a public area of our site can be read, collected, and used by anyone. Please be careful about what you share there.
11. Where we operate
Ottimate is based in the United States, and we operate this website from the United States. If you visit from elsewhere, your information will be transferred to and processed in the United States, where privacy laws may differ from those where you live.
12. Changes to this policy
We review this policy at least once every twelve months and update it whenever our practices change — for example, when we add or remove a tracking partner. When we make a material change, we will post the updated policy here with a new date and, where the law requi
